Position Details
Reporting to the Inside Sales Manager, the Project Specialist plays a pivotal role in ensuring our customers’ inquiries and orders are processed on time and accurately. The Project Specialist blends technical expertise in valves with project management and sales skills. The mission of the Project Specialist is to support project execution, ensuring technical excellence, adherence to project processes, and effective communication with customers and internal stakeholders. The Project Specialist collaborates closely with the Project Manager, Project Engineer, Quality, Purchasing and Sales Team to coordinate and manage customer inquiries and orders
Responsibilities
- Review customer inquiries to determine product selection based on customer requirements and specifications.
- Develop project proposals and quotes following established procedures (sizing, selection, pricing) with 100% accuracy.
- Coordinate internal and external resources to prepare detailed quotation bid packages and execute order processing in the ERP system according to established procedures within the 3-Business Days Turnaround Window.
- Manage projects, ensuring technical excellence, adherence to project processes, and effective communication with customers and internal stakeholders.
- Apply technical knowledge of valves to support project design, engineering, and implementation, ensuring compatibility with customer specifications and industry standards.
- Collaborate with cross-functional teams to develop and execute project plans, coordinating activities and resources to meet project objectives and deadlines.
- Communicate effectively with customers to understand their needs, participate in customer meetings, address technical inquiries, and provide timely updates on project progress and status.
- Identify and mitigate project risks and issues, proactively managing scope, schedule, and budget to ensure successful project delivery.
- Support sales efforts by providing technical expertise and product knowledge to customers, assisting with product selection, customization, and troubleshooting as needed.
- Provide written correspondence and verbal communication with customers and factory team members to obtain information and promote clear understanding of quotation and purchase order requirements.
- Manage the life-cycle quotation and purchase order communication process, including internal and external customer correspondence, in-person meetings, quotation clarification, revisions, issues resolution, etc. to ensure agreement with requirements.
- Proactive order/project management and coordination; coordinate with stakeholders to ensure projects are on track. (Open orders, orders in transit, communication with customers)
- Continuously seek opportunities to improve project management processes, tools, and methodologies, enhancing efficiency, effectiveness, and customer satisfaction.
- Successfully manage projects related to valve products, ensuring technical requirements are met, project milestones are achieved, and customer expectations are exceeded.
- Maintain a high level of technical proficiency with Williams Valve Products.
- Perform other duties as assigned.
Qualifications
- Has worked with at least one small private sector manufacturing company in the oil & gas valve industry.
- A minimum of 3 years of inside sales/account management experience in the valve industry or a related field.
- Bachelor's degree in engineering, project management, or a related field. Relevant certifications (e.g., PMP) are a plus.
- Technical expertise in valves, including knowledge of valve types, applications, materials, and specifications, with the ability to apply that knowledge to project execution.
- Experience in project management and sales roles within the industrial valve or related industry, with a strong understanding of project processes and sales principles.
- Proficiency in project management tools and software, with the ability to develop and execute project plans, track progress, and manage project documentation.
- Strong organization and planning skills, with the ability to manage multiple priorities in a fast-paced, demanding environment.
- Excellent communication and interpersonal skills, with the ability to effectively engage with customers, colleagues, and stakeholders at all levels.
- Strong problem-solving and pragmatic decision-making skills, with the ability to identify and resolve technical issues and challenges during project execution.
- Customer-focused mindset with a commitment to delivering accurate, high-quality solutions on time and in line with customer expectations.
- Experience reading technical specifications and managing project documentation is a PLUS; willingness to learn is essential.
- Bilingual proficiency in English and Spanish is required.
