Job Overview
We are seeking a motivated and detail-oriented Project Accounting Assistant to join our accounting team. In this role, you will support operations by entering billing information, tracking subcontractor documents, and keeping project documentation compliant. Your energetic approach and strong organizational skills will help drive efficient project accounting workflows, contributing to the overall success of our projects and organization. This position offers an exciting opportunity to develop expertise in contract administration and project accounting functions.
Duties and Responsibilities
- Assist with monthly billing by gathering job cost information, organizing supporting documentation, and helping prepare invoices
- Track and follow up with subcontractors to collect required documents such as lien waivers, affidavits, and Certificates of Insurance (COIs)
- Assist with maintaining and tracking project contracts and related documentation
- Enter and update project commitments in Procore and Sage
- Support Project Managers with subcontractor invoice processing in Procore
- Monitor COI reports and follow up on expiring documents to ensure ongoing compliance
- Maintain organized digital and physical files for contracts and project documentation
- Update spreadsheets and tracking logs to keep project information accurate and up to date
- Assist with collecting and organizing project closeout documentation
- Provide support for additional billing tasks (such as dumpster or dump truck billing) as needed
- Provide general administrative support to the Project Accounting & Contracts Manager and team
- Other duties as assigned
Education and Experience
- High school Diploma or GED required. Associates degree or coursework in accounting, business or construction management preferred.
- Experience utilizing office software programs including Microsoft Excel, Word and Outlook required.
- Sage and/or ProCore software experience preferred.

Working Conditions
Working conditions at Williams Construction may include normal office conditions, and occasionally lifting objects to waist height and overhead up to 10 pounds. Sitting for up to 8 hours and standing and walking for up to 4 hours.
Condition of Employment
Employee will be required to demonstrate continued knowledge of this position’s current regulations and requirements. All employees are required to follow safety standards and wear all personal protective equipment in designated areas.
