- Invoice Processing
- Receive, review, and verify invoices and payment requests
- Ensure proper coding and approval according to company policies
- Enter invoices into accounting/ERP systems (e.g., Plex, SAP, QuickBooks)
- Payments & Reconciliation
- Prepare and process payments (checks, ACH, wire transfers)
- Reconcile vendor statements and resolve discrepancies
- Monitor accounts to ensure payments are up-to-date
- Vendor Relations
- Communicate with vendors regarding payment status, discrepancies, and questions
- Maintain positive vendor relationships
- Compliance & Reporting
- Ensure compliance with company policies and internal controls
- Support month-end and year-end closing processes
- Assist in the preparation of AP aging reports
- Continuous Improvement
- Participate in process improvement initiatives to enhance AP efficiency
- Support audits and documentation requests
- Education: High school diploma or equivalent; Associate’s degree in Accounting or related field preferred
- Experience: 1-3 years in accounts payable or general accounting (manufacturing/industrial preferred)
- Technical Skills: Proficiency in MS Office (Excel a must); experience with ERP/accounting systems (Plex, SAP, QuickBooks, etc.)
- Attention to Detail: Accurate data entry and strong organizational skill
- Communication: Effective written and verbal communication with vendors and team members
