PURPOSE OF JOB: To contribute to the efficient operation of the guidance office. Guidance office functions include communications, maintenance, and/or input for students enrolling and withdrawing, student schedules, and reports. Provides general secretarial/clerical support and expected to conform to the highest standards of professionalism.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. A guidance secretary may be assigned any of the duties listed in this job description; other duties may be assigned.
- Reception for Counseling Office
- Type and file correspondence for Counseling Office
- Prepare student files: open files for new students, record test results, record special awards, attach grade stickers, attach test stickers, close out files for transferring students, forward transcripts.
- Assist in maintaining accurate student records, enrolling and withdrawing students
- Assist with student enrollment: prepare materials
- Assist with student schedules: print schedules, handout, give tours as needed
- Assist with preparation for standardized testing
- Operate TylerSIS to update and make corrections, run reports, etc.
- Sort data into various reports when needed
- Prepare end of year awards/8th grade promotion
- Prepare and send progress reports and report cards
- Perform duties to ensure smooth operation of the school
- Supervise students while in the office
- Assist other secretaries as needed and filling in when absent
- Work in Google Docs, Sheets, Gmail, etc.
- Operate copier and fax machines
REQUIRED QUALIFICATIONS:
- High school diploma or GED certificate.
- Accurately type a minimum of 40 wpm.
- Proficiency with Microsoft Office applications (spreadsheet, word processing, PowerPoint)
- Some prior clerical/secretarial experience preferred

LENGTH OF CONTRACT: School Term plus 10 additional days
