Job Summary:
As a Bookkeeper at William Mattar, P.C., you will play a crucial role in maintaining our financial integrity and ensuring the smooth operation of our accounting processes. You will be responsible for Accounts Payable, financial analysis, and report preparation, all while adhering to legal requirements and maintaining confidentiality.
Key Duties:
- Financial Analysis: Summarize our current financial status by analyzing general ledger accounts, providing valuable insights into our financial health.
- Compliance: Ensure compliance with federal, state, and local legal requirements and regulations to avoid legal challenges.
- Confidentiality: Safeguard our firm's value by maintaining the confidentiality of sensitive financial information.
- Financial Information: Provide financial information by answering accounting procedure questions, researching, and interpreting accounting policies and regulations.
- Communication: Interact with customers and vendors directly and through their A/R departments, ensuring clear and effective communication.
- Data Entry: Enter all incoming bills into QuickBooks on a weekly basis, maintaining accurate financial records.
- Payment Management: Identify and prioritize payment due dates, ensuring timely payment of all bills and disbursement checks.
- Account Reconciliation: Confirm disbursements on settled or lost files daily by matching them to QuickBooks records.
- Accounts Receivable: Prepare accounts receivable invoices when applicable and follow up on payment of the same.
- Client Support: Issue disbursement checks per staff requests for their clients, contributing to excellent client service.
- Bank Transactions: Make daily deposits into various firm accounts and handle transactions for the firm's escrow account.
- Organization: Maintain up-to-date and organized accounting files and contribute to special projects as assigned.

Physical Activity:
This role involves sitting at a desk for extended periods of time, with the ability to lift up to 10 lbs.
Work Environment:
You will primarily work in an office environment with regular visits to a bank as part of your responsibilities.
Qualifications:
- Associate’s degree in Accounting or a related field.
- 1 year of experience in a professional setting preferred
- Proficiency with automated accounting systems.
- Strong MS Office skills (Excel, Word, Outlook).
- Excellent communication, interpersonal, and organizational skills.
- Outstanding attention to detail, accuracy, and professionalism.
- Ability to multitask, prioritize workflow, and problem-solve.
- Comfortable working both independently and as a team player, with the ability to interact with a variety of personalities.
