Overview
We are seeking a detail-oriented and proactive Service Coordinator to join our growing Service Department. This role requires strong communication and organizational skills, as you’ll serve as a key point of contact between customers, field managers, and technicians. As we expand our service operations, this position offers an exciting opportunity to be part of a team that is building for the future.
Duties
- Respond to all incoming service calls and emails in a timely and professional manner
- Enter job details into the service database and monitor progress through completion
- Schedule service jobs primarily in the New England region, with a focus on MA
- Prepare and send quotes for APMs and repairs; follow up on pending or outstanding quotes
- Order parts for stock and job-specific needs; manage and control service inventory
- Review daily technician reports and ensure accuracy in job write-ups
- Verify and process technician timesheets for accuracy and completeness
- Serve as the primary point of contact for the service crew
- Generate and distribute daily and weekly job status reports
- Collaborate closely with field service managers to support field operations
- Travel occasionally to our Stratford, CT office as needed
Qualifications
- 2 years of experience in a service coordination, dispatching, or administrative support role (field service industry preferred)
- Strong organizational and multitasking skills with attention to detail
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Outlook, Excel, Word); experience with service management software or databases
- Ability to work independently and as part of a team
- Strong problem-solving and follow-up skills
- Comfortable interacting with technicians, customers, and vendors
- Ability to manage shifting priorities in a fast-paced environment
- Positive mindset
- Eagerness and enthusiasm to learn new skills and adapt in a fast-paced environment
