Overview
We are looking for a reliable and detail-oriented Administrative Service Support professional to join our growing Service Department. This position plays a key role in keeping our service operations organized and efficient. You’ll work closely with technicians, field managers, and the office team to ensure smooth day-to-day operations.

Key Responsibilities include, but are not limited to:
- Respond to incoming service calls and emails professionally and promptly
- Assist with entering job information into the service database and tracking it through completion
- Help schedule service jobs throughout the New England region
- Support the preparation of quotes for APMs and repairs; follow up on outstanding quotes
- Order parts for both general stock and specific jobs; assist with inventory tracking
- Review daily technician reports and confirm accuracy in job write-ups
- Help validate technician timesheets for processing
- Serve as a support point of contact for the service crew
- Generate daily and weekly job reports for internal tracking
- Work closely with service field managers to coordinate logistics and communication
- Travel occasionally to our Hingham, MA office as needed
Qualifications
- 1–2 years of administrative or service-related experience (construction, HVAC, or field service industry experience is a plus)
- Strong organizational and time management skills
- Clear and professional communication skills, both written and verbal
- Proficiency in Microsoft Office (Excel, Outlook, Word); database or scheduling software experience
- Ability to work independently and multitask effectively
- Positive attitude and willingness to support team members
- Valid driver’s license and ability to travel as needed
- Eagerness and enthusiasm to learn new skills and adapt in a fast-paced environment
