Job Description
This full-time 12-month position reports to the Dean of Health Sciences and fulfills the primary role of administrative support for the division. The Administrative Assistant for Health Sciences provides comprehensive administrative and clerical support to the Health Sciences department at Wilkes Community College. This position supports faculty, staff, and program leadership by coordinating daily office operations, maintaining records, assisting with scheduling and communication, and supporting departmental processes. The Administrative Assistant plays a key role in promoting efficient operations and effective communication within the Health Sciences division.

Essential Duties Summary
Core duties will include the following:
Academic Support
Academic Support
- Provide comprehensive administrative support to the Dean, department chairs, and full-time and part-time/adjunct faculty within the Health Sciences division.
- Develop and distribute instructor schedules each semester and submit final schedules to the Vice President of Instruction’s office.
- Coordinate completion and submission of textbook orders to ensure compliance with established deadlines.
- Collect, maintain, and archive course syllabi in accordance with divisional and institutional requirements.
- Assist faculty with census, attendance, and final grade rosters; monitor reports to ensure timely and accurate submission.
Budget and Fiscal Support
- Research vendors, compare pricing, and prepare purchase requisitions in accordance with college purchasing procedures.
- Monitor, order, and maintain office supplies for the Health Sciences division.
- Assist the Dean with budget documentation, tracking, and reporting; submit fiscal paperwork to the business office in a timely manner.
- Process travel requests and reimbursement documentation for faculty and staff.
- Develop and maintain adjunct faculty contracts and related documentation.
Accreditation and Compliance Support
- Maintain departmental records to support accreditation, program reviews, audits, and compliance with institutional and NCCCS requirements.
- Assist in organizing and compiling documentation required for accreditation visits, reports, and ongoing compliance activities.
Facilities and Operational Support
- Coordinate daily office operations to ensure efficient and effective functioning of the Health Sciences division.
- Oversee working conditions of office equipment and conduct regular inventory of departmental equipment.
- Provide facilities operational support to the Dean, including coordinating maintenance requests, space utilization needs, equipment issues, and communication with facilities staff to support instructional and administrative operations.
- Receive and professionally respond to incoming calls, visitors, and inquiries, providing high-quality customer service.
- Support division-sponsored meetings, workshops, and special academic events.
Professional and Institutional Responsibilities
- Serve on college committees and task forces as assigned.
- Participate in professional development opportunities, both internal and external.
- Demonstrate commitment to the mission, vision, and core values of Wilkes Community College and the North Carolina Community College System.
- Perform other related duties as assigned by the supervisor.
Required Qualifications
- Associate’s Degree,
- Demonstrated proficiency with Microsoft Office Suite,
- Strong customer service skills,
- Ability to manage multiple projects, organizational and time management skills,
- Ability to work within a team, and
- Ability to communicate with all levels of employees and students.

Physical Demands
Work is primarily performed under general supervision in an office setting with appropriate climate controls. Requires the ability to exercise good judgment in a variety of situations. Requires strong written and verbal communication, administrative, and organizational skills. Must be able to work under pressure and handle all confidential matters with discretion. Travel, evening, and weekend work will be required.
Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills are important.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

Salary Range: $31,200 to $42,000 based on education and experience in accordance with the college salary plan.
