Position Summary:
The Purchasing Coordinator is responsible for distribution and processing of incoming workflow to the Purchasing Department, and a number of administrative tasks that help contribute to an effective workflow within the Purchasing Department, and other procurement related activities as assigned.
Major Responsibilities (include, but not limited to):
The physical demands include but are not limited to the use of a Keyboard, 10-key, Mouse, and Telephone Use, Handwriting, Sitting, Standing, Crouching, Kneeling, Bending, Walking, Stair Climbing, minimal Driving, and Lifting up to 50lbs.
Workplace Conditions and Environment:
The workplace conditions and environment of the role include working indoors, closely with others, and/or alone, exposure to excess noise, and travel to other WCS sites, conferences and global sites.

Major Responsibilities (include, but not limited to):
- The Purchasing Coordinator is a fundamental member of the Purchasing team at WCS, providing critical support to the team and its administrative functions throughout the organization and reports to the Assistant Director of Procurement, based at the Bronx Zoo.
- Part of a collaborative team that provides strategic purchasing support and tactical decision making to bring process efficiencies and responsibly sourced goods and services to WCS.
- Excellent attention to detail, being proactive, having a mind for process, possessing strong writing and communication skills are all important elements contributing to success in the role.
- Perform administrative procure to pay workflow tasks including Purchase Order adjustments, fiscal year-end reconciliation, Vendor record maintenance (i.e., Vendor number creation and information updates), resolving invoicing discrepancies with the vendor and Accounts Payable team
- Process incoming purchase requisitions for various administrative departments
- Prepare and administer solicitation documents as needed
- Review and route contract requests as required
- Manage various self-serve programs such as printers & copiers, water coolers, and uniforms
- Perform additional projects as assigned by Director and Assistant Director
- Interface with WCS stakeholders on their procure to pay needs, provide system and process training as necessary
- Bachelors Degree, preferably in Business Administration, Finance or another similar area required.
- 1-2 years in a finance related role required.
- Working knowledge of standard business administration principles
- Experience working in a fast-paced environment
- A working knowledge of business and communications software (Excel, Outlook, Word).
- Ability to communicate well both verbally and in writing within a diverse and global work culture and environment.
