What are the responsibilities and job description for the Account Coordinator position at Wild Marketing Group?
The Account Coordinator is essential to support the Wild Impact division account management staff. This role is very detail oriented and proficient with data entry. The Account Coordinator will also be responsible for handling correspondence with client and vendors to keep projects on track.
Responsibilities
- Entering Purchase Orders into order entry system: branded merchandise and fulfillment
- Interpret invoices and order acknowledgments from vendors
- A daily review of the order tracker to ensure all PO's are within the scheduled timeframes. If required, emails and/or phone calls to the appropriate parties getting the order back on track
- Analyze and understand HTS codes, import duties, and tariffs
- Interpret proforma invoices, wire transfers, bills of lading, commercial invoices and packing lists
- High-volume correspondence with vendors and customers on product proof approvals
- Updates to all defined internal and external parties regarding order status on a weekly basis
- Identify and help to implement cost reduction opportunities within the logistics umbrella
- The ability to manage multiple projects/customer accounts at one time and remain organized is essential
- Facilitate credit card payments (3% upcharge should be embedded in quote)
- Track orders internally and for client, provide clear communication of status
- Complete the order in NetSuite as shipped with supporting documentation
- Work directly with suppliers regarding billing discrepancies. Update NetSuite accordingly ensuring reconciliation and accuracy for WMG accounting team
- Manage expectations with the client regarding discrepancies for resolution
Qualifications
- Degree or experience in logistics / supply chain and customer service is a plus
- Understanding of general accounting principles and NetSuite software preferred
- Experience with international, domestic/inland freight, and customs
- Strong work ethic, high energy and motivated to support the customer
- Excellent communication and analytical skills
- Promotional industry experience preferred
- Proficient in excel and data entry
- Strong attention to detail
- Ability to work independently
- Proficient time management in a fast-paced environment
- Excellent written and verbal communication skills
- The ability to interact professionally at all levels
