What are the responsibilities and job description for the Events Coordinator position at Wild Dunes Resort?
SUMMARY : The Event Coordinator acts as the on-site assistant for meeting planners, and liaison between meeting planner, banquet manager and Conference Coordinator. S / he will work with department managers and Colleagues to ensure the effectiveness and overall success of the department. S / he will assist in maintaining the AAA Four Diamond standards.
The Event Coordinator shall always strive to provide exceptional service to both internal and external guests. S / he will be responsible for exemplifying the Wild Dunes Resort Culture as well as promoting Wild Dunes Resort as both the Destination and Employer of Choice!
Essential job Functions :
- Acts as the receptionist at the front desk of Sweetgrass Pavilion Business Office from 8 : 00 AM - 4 : 30 PM.
- Acts as on-site assistant for all meeting planners by checking in first thing in the morning and working as a liaison between the meeting planner and banquet managers.
- Ensures accurate and timely file turnover from Sales to Event Planning.
- Controls space in Envision for maintenance and out of order functions.
- Creates and edits all Envision F&B menus.
- Assists Senior Event Planning Manager and Director of Event Operations with special projects.
- Assists Event Planning Managers, Banquet Managers, and Banquet Supervisors with administrative needs.
- Handles invoices for the following; Event Planning and Event Operations teams, A / V monthly payments, Capital payments.
- Handles all F&B and Event signage
- Manages daily event reporting communications with the resort.
- Manages group shipping for all groups and vendor tradeshows.
- Manages communication with the resort HOA. (Front Gate.)
- Plans and executes all site visits for the sales team.
- Manages deposits for : second and third deposits that are due from the clients.
- Manages Dinner Delivered Event orders.
- Manages the VIP amenity program on behalf of the Event Planning team
Colleague is held accountable for all duties of this job and other duties as assigned.
