Basic Purpose
The Inside Sales- Projects Specialist is responsible for managing the full lifecycle of project sales orders—from initiation through closeout. This role ensures projects are executed in alignment with contractual requirements, customer expectations, and company standards while minimizing risk and maintaining schedule integrity.
The Specialist operates with a high degree of independence and is expected to make informed decisions related to contracts, pricing structures, and design documentation with minimal supervision.
Project Management & Execution
- Lead the planning and execution of assigned project orders in accordance with company policies
- Develop and manage comprehensive project plans, including:
- Schedules and milestones
- Resource allocation
- Risk analysis and mitigation strategies
- Monitor project performance and ensure alignment with delivery commitments
- Coordinate cross-functional activities across engineering, procurement, production, quality, and logistics
- Ensure proper project closeout, including documentation completion, lessons learned, and financial closure
Customer & Stakeholder Collaboration
- Serve as the primary customer contact throughout the project lifecycle
- Lead internal and external kickoff meetings based on project complexity
- Collaborate with internal teams, subcontractors, and customers to ensure alignment and timely execution
- Provide regular status updates and facilitate communication across stakeholders
Contract & EPC Project Support
- Interpret and manage project contracts, specifications, and requirements
- Ensure adherence to contractual obligations and company policies
- Support proposal development and sales quotation activities as needed
- Apply knowledge of EPC (Engineering, Procurement, Construction), capital projects, and Oil & Gas markets to project execution
Technical Documentation & Instrumentation Coordination
- Review and analyze project specifications, drawings, and product designs
- Collaborate with engineering to translate technical requirements into deliverables
- Ensure compliance with customer specifications and company standards
- Manage project documentation, including worksheets, submittals, and approvals
- Support instrumentation and controls requirements within process industries
ERP Systems & Data Management
- Enter and manage project orders within ERP systems
- Maintain accurate project records and documentation in digital systems (DMS, CAD, etc.)
- Track and report project progress using system data and tools
- Ensure data integrity and accessibility for cross-functional use
Required Qualifications & Experience
- Bachelor’s degree in Engineering, Business, or related field (preferred)
- 3 years of project order management experience or 6 years of project order management experience in a manufacturing environment
- Solid understanding of EPC, Capital Projects and oil/gas market
- Advanced Excel knowledge
- Instrumentation experience is STRONGLY preferred
