Duties
- Manage daily bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking to ensure accurate financial records.
- Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette.
- Handle calendar management and scheduling for meetings, appointments, and deadlines using Google Workspace and Microsoft Office tools.
- Perform clerical duties such as filing, proofreading documents, and maintaining organized digital and physical records.
- Assist with office management responsibilities including supply ordering, mail distribution, and maintaining a clean, organized workspace.
- Support administrative functions like data entry, document preparation, and record keeping to streamline office operations.
- Provide bilingual support to communicate effectively with diverse clients and team members when needed.
- Coordinate with team members on project timelines and assist personal assistants or medical/dental receptionists with administrative tasks as required.
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in QuickBooks for bookkeeping and financial recordkeeping.
- Excellent computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Prior clerical experience with data entry, filing, proofreading, and document management.
- Strong customer service skills with the ability to handle multi-line phone systems professionally.
- Payroll Experience
- Knowledge of office equipment such as multi-line phones, printers, scanners, and basic troubleshooting skills.
- Exceptional time management skills with the ability to prioritize tasks efficiently.
Pay: $18.47 - $21.26 per hour
