Finance Operations Manager (QuickBooks Desktop Expert)
Location: Santa Ana, CA (100% in-office)

The Role
We’re seeking a Finance Operations Manager to own day-to-day financial operations and help keep the business accurate, efficient, and cash-strong. This is a highly hands-on role overseeing invoicing, collections, cash application, job setup, and finance process improvement, with additional exposure to procurement and payroll oversight.
Key Responsibilities
- Own end-to-end client invoicing (accuracy, timing, documentation)
- Lead collections and resolve billing issues quickly and professionally
- Manage cash application (ACH, checks, wires, credit cards) and deposits
- Maintain customer accounts, statements, and AR aging follow-up
- Oversee job setup and sales order workflows to ensure accurate billing and margins
- Maintain documentation (POs, COIs, approvals) for audit-ready records
- Support procurement workflows and serve as backup for purchasing as needed
- Oversee payroll inputs and employee reimbursements
- Build and improve SOPs, internal controls, and finance workflows
- Partner with leadership on reporting, including cash forecasting, AR trends, and job profitability
Qualifications
- 5 years in accounting/finance operations with strong AR, collections, and cash ownership
- Advanced QuickBooks Desktop (Enterprise/Contractor Edition) experience
- Experience in service-based or project-based environments (field services, construction, industrial, etc.) preferred
- Working knowledge of procurement/purchasing workflows
- Strong Excel/Google Sheets skills (pivot tables, lookups)
- Process-oriented with a track record of building SOPs and improving workflows
- Clear, confident communicator (especially in collections)
- High ownership mindset; able to manage multiple priorities
- Able to work onsite in Santa Ana
Nice to Have
- Payroll administration experience
- Sales tax / 1099 familiarity
- Job costing or project-based billing experience
