What are the responsibilities and job description for the Chief of Staff position at Widger Talent?
Chief of Staff
Kaas Settlement Consulting | Newport Beach, CA | In-Person | Full-Time
Kaas Settlement Consulting is a boutique settlement planning and financial advisory firm that helps individuals and families navigate major financial transitions after injury, loss, or litigation. We're a small, high-performing, mission-driven team operating at a genuinely unusual level — and we need a right hand who can match it.
The Role
This is not a traditional EA position. As Chief of Staff, you'll serve as the operational backbone for founder and CEO Traci Kaas, keeping multiple moving parts aligned across Kaas Consulting, Kaas Financial Solutions, and related entities. Your primary job is to protect the CEO's time and protect the company — so that she stays focused on the work only she can do.
You'll manage up, down, and sideways. You'll handle communications and calendar, keep staff and outside professionals accountable, manage internal projects, and step in wherever the business needs you. You're the person who knows what's happening before anyone asks, who quietly fixes things before they become problems, and who has no issue ordering lunch when that's what the moment calls for.
What You'll Do
- Manage and protect the CEO's calendar, communications, and priorities across multiple business entities
- Keep internal staff, vendors, and outside professionals on track and accountable to deadlines
- Oversee projects and workflows in Asana; maintain documentation and systems in OneDrive and Trainual
- Support case flow operations — correspondence, document prep, and follow-ups on behalf of the CEO
- Draft communications, prepare materials, and represent the CEO's interests with discretion and professionalism
- Coordinate marketing support, event planning, and office administration
- Monitor activity across affiliated entities (Kaas Financial Solutions, private foundation, AI initiatives) and flag anything that needs attention
What We're Looking For
- Proven background in a Chief of Staff, senior EA, operations manager, or comparable role — professional services experience a strong plus
- Proactive, organized, and deeply self-directed — you see what needs doing and do it
- High EQ: you communicate with clarity and warmth at every level, inside and outside the company
- Tech-forward: proficient in Microsoft Office, Salesforce, and Asana; genuinely enthusiastic about AI tools
- Discreet and trustworthy with sensitive financial and client information
- Salaried mindset — the hours are flexible, not unlimited, but this role doesn't punch a clock
- Spanish-speaking a plus
