DUTIES AND RESPONSIBILITIES (including, but not limited to) :
Essential Duties:
Administrative Operations
- Manage daily operations of the Dean’s Office, including scheduling meetings, coordinating travel, maintaining records, and managing office supplies and equipment.
- Serve as the primary point of contact for internal and external communications on behalf of the Dean.
- Maintain confidential records and ensure secure handling of sensitive information.
- Plan and execute School events, including securing venues, arranging catering, preparing materials, and managing logistics.
- Coordinate special projects and initiatives involving multiple departments or stakeholders.
- Monitor and reconcile multiple departmental budgets and accounts; prepare financial reports to support decision-making.
- Track faculty overloads and generate corresponding contracts.
- Compile and submit required reports to accrediting bodies such as the Pennsylvania State Board of Nursing, NLN, and AACN.
- Assist with faculty and staff recruitment processes, including managing candidate files, coordinating interviews, and onboarding new hires.
- Prepare employment-related documentation and maintain accurate records.
- Assign and oversee work of administrative support staff, student workers, and graduate assistants.
- Collaborate effectively with faculty, staff, students, vendors, and board members to support School operations.
- Perform other job-related duties as assigned or directed in support of the School of Nursing and the division of the Office of the Provost.
Required:
- High school diploma or equivalent.
- 5–7 years of relevant administrative experience in a service-oriented environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and internet research.
- Ability to learn and use university systems and databases.
- Strong written and verbal communication skills.
- Demonstrated ability to manage financial records and perform accurate data entry.
- Excellent organizational skills with attention to detail and ability to multitask.
- Experience maintaining complex filing systems (electronic and paper).
- Proven ability to handle confidential information with discretion.
- Ability to work independently and collaboratively in a fast-paced environment.
- Associate’s or Bachelor’s degree in a related field.
- Experience in project coordination and event planning.
- Advanced skills in data management and financial reporting.
- Fast-paced office environment requiring attention to detail.
- Must be able to sit at a computer and operate office equipment for extended periods.
