Primary Purpose:

Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head(s) and other staff members.

 

Qualifications:

 

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Proficient in the use of a computer and various software programs, i.e.: Excel, Word, Google based programs

Strong organizational skills

Effective communication and interpersonal skills

Ability to prioritize workflow to address the multiple needs of the supervisor or the department

Ability to multi-task numerous complex administrative activities

Basic math skills

Ability to work independently and use sound judgment

Understanding of budget codes and budgeting procedures

Working knowledge of Skyward software

 

Experience:

Four years secretarial experience, preferably in a public education environment

 

Major Responsibilities and Duties:

 

Records, Reports and Correspondence

  1. Prepare correspondence, forms, reports, etc., for the department head and other department staff members using personal computer.
  1. Compile, maintain, and file all reports, records, and other documents as required.

 

  1. Maintain physical and computerized departmental files.

Accounting

  1. Make travel arrangements for department staff and for teachers under their advisement, if applicable.
  2. Prepare and process department purchase orders and payment authorizations.
  1. Order and maintain inventory of office supplies and equipment.

 

  1. Perform routine bookkeeping tasks and maintain department budget records.
  2. Monitor leave requests and reports and submit to Director for review and approval
  3. Aid employees within the department with regards to appropriate time-keeping processes and procedures

 

Reception

  1. Greet visitors and respond to routine inquiries from staff and the public.
  2. Answer incoming calls, take reliable messages, and route to appropriate staff.
  3. Promote good will and effective public relations

Other

  1. Maintain schedule of appointments for department staff
  1. Receive, sort, and distribute mail and other documents to department staff.

 

  1. Make meeting arrangements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment
  1. Follow district safety protocols and emergency procedures.

 

  1. Maintain confidentiality of information.
  2. Regular Attendance
  3. Other duties as requested by supervisor

Equipment Used:

Standard office equipment including personal computer and peripherals

 

Working Conditions:

Work with frequent interruptions; maintain emotional control under stress. Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching. Occasional light lifting and carrying (less than 15 pounds). May work prolonged or irregular hours; occasional districtwide travel
