Position Summary

The Administrative Services Manager provides vital leadership and coordination for the College of Arts & Sciences (CAS), ensuring efficient operations, strong communication, and exceptional administrative support. This position serves as a trusted partner to the Dean and Associate Deans, supervises program coordinators across CAS, and manages college-wide budgets and processes that keep the academic mission moving forward. The manager models service excellence, collaboration, and stewardship consistent with Whitworth University’s mission to honor God, follow Christ, and serve humanity.


Core Responsibilities

Administrative Support | 50%


  • Provide confidential administrative support to the Dean and Associate Deans.
  • Manage complex and dynamic scheduling for the Dean's office.
  • Coordinate the preparation of reports and materials for campus committees, CAS meetings, and Board of Trustees interactions.
  • Assist in faculty evaluation processes.
  • Facilitate faculty contracting and serve as a liaison with CAS leadership.
  • Coordinate personnel searches and assist with search committee activities.
  • Manage special projects, long-range planning, and strategic initiatives.
  • Collaborate on onboarding new employees and contract development.
  • Monitor and update CAS policies, procedures, and website content.
Finance and Operations | 20%
  • Manage and monitor CAS department budgets.
  • Review budget reports and assist in preparing mandatory expenses.
  • Communicate budget information with Academic Affairs and Business Offices.
  • Assist with grant and endowment administration.
  • Handle accounts receivable/payable and review expense reports.
  • Maintain budget files.
Supervision | 20%
  • Supervise and support seven program coordinators in CAS.
  • Hire, train, and evaluate program coordinators.
  • Delegate tasks and conduct monthly performance evaluations.
  • Consult with CAS leadership on coordinator roles and performance.
  • Organize and oversee CAS operational activities.
Additional Responsibilities | 10%
  • Oversee CAS-sponsored special events.
  • Other duties as assigned.

Qualifications and Core Competencies

Education and Experience

  • Three years of related work experience or equivalent education and experience in a confidential, service-oriented environment.
  • Experience serving as a supervisor.
  • Personal commitment to the Christian faith and integration of faith and learning.
  • Commitment to Whitworth University’s educational mission as a Christian liberal arts university.

  • Demonstrates mastery in administrative coordination, time management, and process improvement to ensure effective operations across CAS.
  • Utilizes tools such as Microsoft Office Suite, database systems, and digital communication platforms effectively and efficiently.
  • Handles sensitive information and personnel matters with discretion and professionalism.
Preferred
  • Bachelor's degree.

Schedule
Full-time (1.0 FTE) | 12 months | 40 hours per week
Whitworth office hours are 8 AM to 4:30 PM Monday–Friday
