We are seeking a detail-oriented and motivated Construction Pay-App / Closeout Specialist to join our team. This role is vital in ensuring accurate preparation of AIA pay applications, compliance with contract requirements, and timely project closeouts.
Key Responsibilities
Pay Applications & Billing
Prepare, review, and submit monthly AIA G702/G703 pay applications in coordination with project managers.
Verify subcontractor billings, lien waivers, and compliance documents for accuracy.
Track contract values, change orders, and retainage to ensure accurate invoicing.
Communicate with owners, architects, and agencies regarding payment status and required documentation.
Maintain organized billing records and assist with audits as needed.
Project Closeout Management
Manage and coordinate the closeout process for completed projects.
Collect, review, and compile warranties, O&M manuals, as-builts, lien releases, and final pay applications.
Ensure compliance with all contract closeout requirements and deadlines.
Track and follow up with subcontractors and vendors to obtain required documentation.
Deliver complete and professional closeout packages to clients, architects, and agencies.
Support project managers in verifying punch list completion.
General Duties
Maintain strong communication with project managers, subcontractors, vendors, and clients.
Uphold White Sands Construction’s commitment to professionalism, accuracy, and client satisfaction.
Support continuous improvement of pay-app and closeout procedures.
Qualifications
Associate’s degree in Accounting, Construction Management, or related field (Bachelor’s preferred) OR equivalent experience in construction billing/project administration.
Minimum 2 years of experience in construction accounting, project billing, or project closeout.
Strong knowledge of AIA pay applications, retainage rules, and contract compliance requirements.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook); knowledge of construction/project management software is a plus.
Excellent organizational skills with the ability to manage multiple deadlines.
Strong attention to detail and accuracy.
Effective written and verbal communication skills.
