The Role
The Executive & HR Assistant plays a central role in supporting the President and the HR Leader while ensuring smooth operations across our family of small but fast-moving companies. This position blends executive support, HR coordination, and cross-functional project work, requiring strong organization, excellent follow-through, and a proactive mindset.
You'll work both on-site and remotely, with regular in-person collaboration at our New Era office and as-needed travel to locations throughout West Michigan.
Key Responsibilities
Executive & Operations Support (approx. 50%)
- Serve as a primary support partner to the President, helping manage priorities, track deliverables, and ensure follow-through across departments.
- Prepare meeting materials, take notes, manage agendas, and coordinate next steps.
- Support end-of-day review conversations with the President several times per week.
- Assist with research, reporting, and project coordination related to operations and development.
- Identify inefficiencies and introduce smarter tools, processes, or systems.
- Provide cross-functional project support across departments as needed.
HR Support & Recruiting (approx. 50%)
- Lead job postings, applicant screening, scheduling, and interview coordination.
- Assist with new-hire onboarding and benefit enrollment for eligible employees.
- Enter new hires into the HRIS system and maintain accurate employee records.
- Support compliance tasks such as FMLA tracking and required documentation.
- Work closely with the HR Leader on administrative HR functions and initiatives.
- Grow your skills with the opportunity to take on more HR generalist responsibilities over time.
Who You Are
- Tenacious, adaptable, and energized by variety — you thrive in changing environments.
- A natural organizer with strong attention to detail and the ability to see the big picture.
- Experienced in HR support, recruiting, executive assistance, or operations (3 years preferred).
- Skilled in Microsoft 365 and Teams; familiarity with Paycor, Power BI, or QuickBooks is a bonus.
- Curious and open to learning new technology, including AI tools that improve efficiency.
- Professional, discreet, and capable of working independently with minimal oversight.
- Holds a bachelor's degree or equivalent experience in business, HR, communications, or a related field.
Schedule Work Environment
- Standard schedule: Monday–Friday, approximately 8:00–5:00, with some flexibility.
- Availability for end-of-day priorities several days per week is essential.
- Occasional evenings or weekends may be required for special events or projects.
- Hybrid structure: typically 2–3 days per week on-site in New Era, with remote work and in-store/project support on other days.
- Travel as needed to company locations from Shelby to Holland (mileage reimbursement provided).
