Job Title: Contract Administrator
Location: Canton, OH
Reports to: CEO and Sales Manager
Position Summary
The Contract Administrator plays a critical role in supporting project execution, contract compliance, and cash flow. This position serves as the primary liaison between Whitacre Rebar and general contractors for contract administration, change management, billing support, and document control.
The successful candidate will manage contracts from award through closeout, ensuring scope alignment, protection of lien rights, timely processing of change orders and T&M work, along with the support prequalification efforts.
Essential Duties & Responsibilities
Contract Administration
- Review, revise, negotiate, and execute prime contracts and subcontract agreements
- Identify contractual risks and advise management of rights, obligations, and exposure
- Maintain compliance with contract terms, insurance requirements, and project-specific provisions
Change Management
- Manage the full lifecycle of change orders, from initiation through approval, billing, and collection
- Process signed field work tickets and time & material (T&M) documentation
Project Setup & Systems
- Set up projects in WECore (project management software) and Viewpoint (accounting systems)
- Maintain accurate job documentation, contract files, and billing records
Lien Rights & Risk Protection
- Protect and track lien rights, notices, waivers, and releases
- Ensure timely filing and compliance with state-specific requirements
Billing & Collections Support
- Assist with progress billings and collections
- Verify that contract requirements are met prior to invoicing
- Support job closeout requirements, including confirming all payments are received
Prequalification & Sales Support
- Complete and submit contractor prequalification packages
- Support sales and estimating teams with contract-related documentation
- Process customer credit applications
Required Knowledge, Skills & Competencies
- Strong understanding of construction contracts, subcontracts, and change orders
- Ability to read, interpret, and enforce contract language
- High attention to detail with strong organizational skills
- Clear written and verbal communication
- Professional customer service skills when working with general contractors
- Ability to manage multiple deadlines in a fast-paced construction environment
- Sound judgment, discretion, and ethical decision-making
Education & Experience
- Bachelor’s degree in business administration, Legal Studies, Construction Management
- Minimum of three (3) years of relevant experience in construction contract administration, subcontractor operations, or project administration
Computer Skills
- Proficiency with Microsoft Office Suite
- Proficiency with Adobe
- Experience with construction accounting and ERP systems
- Familiarity with document management and project management software
