Job Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, managerial, and communication skills, with experience in office management, bookkeeping, and human resources. This role involves coordinating various administrative tasks, supervising staff, managing vendor relationships, and supporting overall office efficiency. The Office Manager will play a key role in maintaining a professional, welcoming atmosphere while handling essential operational responsibilities.
Responsibilities
- Oversee daily office operations to ensure efficiency and productivity
- Manage scheduling, calendar coordination, and appointment setting for staff and executives
- Supervise administrative staff and coordinate training & development initiatives
- Handle vendor management, including negotiating contracts and maintaining relationships
- Oversee bookkeeping, payroll processing, budgeting, and financial recordkeeping using QuickBooks or similar software
- Manage human resources functions such as onboarding new employees, maintaining personnel records, and ensuring compliance with policies
- Coordinate event planning for meetings, company functions, and special events
- Maintain filing systems, front desk duties, multi-line phone systems, and phone etiquette standards
- Oversee office supplies inventory and procurement processes
- Ensure adherence to company policies and procedures while fostering a positive work environment
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Excellent communication skills—both verbal and written
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Demonstrated experience in event planning, vendor management, and human resources functions
- Strong supervisory experience with team management capabilities
- Skilled in bookkeeping, payroll processing, budgeting, and basic financial recordkeeping
- Ability to handle clerical tasks such as filing and front desk operations efficiently
- Exceptional organizational skills with attention to detail and time management abilities
- Experience in medical office management or similar environments is a plus
- Ability to train staff effectively while promoting professional development opportunities
- Professional demeanor with excellent phone etiquette and customer service skills
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
