Human Resources Assistant
The Human Resources Assistant is a key contact for employees by providing daily support and performing a variety of human resources transactions such as managing employee information, completing administrative paperwork regarding new hires, terminations, benefits, and other workplace programs. The HR Assistant must have strong interpersonal skills to solve workplace questions and concerns regarding various day-to-day operations. This position will also communicate with other companies to provide relevant data and satisfy questions regarding verification of employment and other information as needed. Among their main duties is organizing events and sending reminders. The HR Assistant will play an important role in supporting the HR Department to achieve department goals in a timely manner. This is an exempt position reporting to the Associate VP and Chief HR Officer (CHRO)/Title IX Coordinator.
ESSENTIAL FUNCTIONS:
The statements below are intended to describe the principal duties of the person or persons assigned to this job. They are not intended to be an exhaustive list of all job duties and responsibilities.
- Assists with the hiring and onboarding of new hires – provides software support to hiring/search committee for the applicant tracking system and required documentation, initiates the onboarding paperwork process for new hires, completes background screening, processes new hire documentation by transferring into the payroll/HR portal and verifies all settings properly transferred, sets up employee access to portal (e-selfserve), and works with supervisors of new hires for proper access and items needed.
- Administers work study, college employment, and summer employment programs as it relates to human resources and payroll.
- Completes benefit vendor payments and reconciliation, and other HR invoice processing
- Organizes events such as; annual biometric screening, benefits open enrollment, employee recognition, etc. Also serves on the social committee; organizing the holiday party, spring picnic, and retirement celebration during Alumni Weekend.
- Maintains electronic files – employee records, benefits data, payroll records, and other related items. In addition, updates active directory, Jenzabar, benefits, and other areas as needed when there are employee changes.
- Sends, tracks, and files signed hiring approval and status change forms as directed, and signed appointment letters and job descriptions after prepared by CHRO.
- Maintains a current knowledge of applicable Federal and State laws and regulations, and Westminster’s personnel policies and procedures.
JOB SKILLS AND REQUIREMENTS:
Education: High school diploma or equivalent is required. Bachelor’s degree preferred, but not required. Industry certifications are a plus
Experience: One-two years in Human Resources
Skills:
- Strong proficiency in computer software systems including: MS Word, Excel, Power Point, ability to conduct thorough and quick Internet research, and knowledge of other related software applications;
- Familiarity using HR information systems and data entry
- Familiarity with office gadgets and applications (ex – Calendars and copy machines)
- Intercultural sensitivity and language skills
- Being a “self-starter” who completes projects and works to meet job objectives even when not given specific tasks; also can work well in teams and promotes great teamwork
- Outstanding organizational and time management skills
- Able to identify and resolve problems in a timely manner, gather and analyze information skillfully;
- Ability to multitask
- Professional and positive verbal communication skills with clients and colleagues.

TYPICAL PHYSICAL DEMANDS:
Must be able to remain in a stationary position 50%, must be able to move about inside the office to access file cabinets, office machinery, greeting students, faculty, staff, customers, etc. Frequently communicates with students, staff, faculty, etc. and must be able to exchange accurate information in these situations. Occasionally requires lifting and carrying items up to 30 lbs.
WORKING CONDITIONS:
Climate controlled building and private office.
