POSITION ANNOUNCEMENT:
Assistant to the Registrar
Department: Academic Affairs
FLSA: Non-Exempt
Reports to: Registrar
The Assistant to the Registrar at Westminster College assists the Registrar, faculty, staff, and students in maintaining complete and accurate records in the Registrar's Office. The Assistant to the Registrar is responsible for maintaining the integrity of student's personal information and academic records. Basic day-to-day operation of the Registrar's Office is overseen by this individual. The Assistant to the Registrar reports directly to the Registrar but makes most daily decisions without supervision. This position will also work closely with the Academic Dean and Associate Dean's Offices when needed.
Essential Functions:

- Greets students, faculty, and guests in the Registrar's Office. General assistance to the Registrar, as needed.
- Assists with the registration process, including assistance with preparation of course schedule. Processes independent studies and internships, MMACU enrollment, and maintain schedule corrections list.
- Run end of semester processes: process grades, CR/D/F forms, and assist with probation letters. Prepare reports as requested by Westminster faculty and administration.
- Manage and provide updates for Registrar's Office website.
- Supervise student workers and assist co-worker in Registrar's Office as needed.
- Maintenance of permanent student academic records in accordance with FERPA regulations. Responsible for retention of all records in the Registrar's Office. Organize and manage student records to be copied for record retention.
- Maintain and assist with managing data on the academic data base.
- Supervise the coordination of graduation audits and assist with all aspects of preparation for the commencement ceremony.
- Responsible for updating and ordering forms and maintaining equipment.
Requirements:
*Education: High School Diploma or equivalent; some college preferred.
*Experience: Previous Registrar's Office experience preferred.

- Proficiency in Microsoft Word;
- Proficiency in Microsoft Excel;
- Knowledge of other Windows-based software and willingness to learn basic operations in Jenzabar and other internal management platforms.
Equipment to be used:
Must be able to operate a personal computer and all of the associated software used at the college. Must be able to operate office machines such as the fax, telephone, and copy machine.
Typical physical demands:
Sitting, standing, reaching, and bending. May require light lifting. Requires normal range of hearing and vision.
Working conditions:
Climate controlled building in an office setting, 8:00 a.m. to 5:00 pm.
