Job Description Summary
The Workforce Development and Community Education Office Assistant provides comprehensive administrative, instructional, and operational support for Western Wyoming Community College's Workforce Development programs and the Green River Center. The position ensures the efficient coordination of non-credit and credit workforce training, manages course registration and billing, maintains instructor and student records, and assists in the logistical delivery of training events and testing.
This position supports the daily operation of workforce activities, contributing to a professional, customer-centered experience for students, faculty, and community partners. It also serves as the backup proctor for testing operations and assists with marketing and outreach logistics. This position also provides support for the Enrich program.
PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE
1. Maintains Contract files and Sponsorships. Creates Master files for Workforce non-credit classes and community education programs such as Enrich Wyoming. Reserves rooms for Workforce classes, Industry usage, and the Green River Center as a whole. Enters all data into appropriate databases.
2. Provides registration, confirmation, cancellation, and billing services for all Workforce Development training and Enrich Wyoming offerings. Becomes knowledgeable about Workforce Development programs and procedures, Enrich programs and procedures, and suggests enrollment in programs according to expressed customer needs.
3. Maintains instructor files and prepares employee reporting forms, provides class rosters and other information to instructors, orders materials for students and instructors, manages course files, documents course outlines, and assists with course, instructor, and program evaluation.
4. Conducts on-site registration/check-in, verifies arrangements, provides assistance to instructors, troubleshoots problems, and otherwise ensures a professionally run operation for instructors and students.
5. Performs clerical duties including preparing and submitting appropriate paperwork, typing and word processing, preparing and updating spreadsheets, using e-mail, task organizer and scheduling software, issuing certificates, and operating office machines.
6. Assists in the preparation, maintenance, and submission of course documentation necessary for Workforce Development students to fulfill CEUs and other professional certification requirements.
7. Serve as a backup test proctor when needed; maintain basic proctor certifications and assist with troubleshooting testing software and equipment.
8. Communicates Workforce Development information to appropriate WWCC staff in a timely manner. Schedules meetings and appointments.
9. Attend staff and building meetings; communicate updates to appropriate personnel in a timely manner.
10. Assists in the entry of course registration, student contact information, and billing information into appropriate databases.
11. Prepares purchase requisitions, assists in the collection of payment information for credit card statements and budget tracking.
12. This position requires evening and weekend work.

Minimum Qualifications
MINIMUM QUALIFICATIONS (Education, Experience, Knowledge, and Abilities)
- High School Diploma or equivalent required.
- Two (2) to Three (3) years of related office or clerical experience required.
- Valid driver's license and ability to travel throughout the College's service area
