What You'll Do
Invoicing and payments
- Create invoices for cash-pay students and loan advances (Climb, Ascent, Edly, and other lenders).
- Apply scholarships, discounts, and adjustments according to policy.
- Track payments and confirm students have met their financial obligations before their start date.
- Process refunds and balance adjustments when start dates change, following set policy.
- Coordinate with Accounting on overpayments and certificate payments.
- Set up, send, and finalize student payment plans within established guidelines.
- Watch delinquency reports, flag overdue accounts, and connect students with the right support.
- Give Operations and Housing a heads-up when payment issues affect students on campus.
- Join regular partner meetings to keep the process on track.
- Complete and submit paperwork for scholarships, tribal programs, state funding, and other sources.
- Register and manage vendor portals as needed.
- Confirm loan disbursements land within two weeks of a student's start date.
- Keep HubSpot finance records accurate and current.
- Maintain the Student Start Tracker for Accounting.
- Complete departure forms for graduates and update the right teams.
- Run pre-orientation financial checks so every student is cleared before day one.
- Give Student Selection the financial facts they need to make admission decisions.
- Partner with Sales to confirm payment arrangements are set.
- Keep Operations and Housing in the loop on payment status so scheduling and housing run smoothly.
- 3 years in accounts payable, treasury, or financial administration.
- Strong skills with financial software such as QuickBooks, NetSuite, or similar.
- Sharp attention to detail and a real commitment to accuracy and compliance.
- Clear communication and steady problem-solving.
- A track record of owning workflows with accountability and integrity.
- Location: On-site in Gillette, Wyoming.
- Schedule: Full-time, salaried. Our finance work follows the rhythm of student start dates, so some weeks run busier than others, with occasional extended or Saturday hours during peak periods.
- Environment: Standard office setting, with occasional travel to events or off-site locations. Comfortable working at a computer for long stretches and handling light document tasks.
