The Mortgage Operations Specialist is responsible manage loan files from setup through post-closing, including ordering third-party services, handling investor suspensions, fundings, invoices, and appraisal collections, and completing verbal verifications. Oversees MERS registration, first payment collection, and post-closing tasks such as shipping, document tracking, and fee processing, while ensuring compliance, accurate final documentation, and quality control on all boarded loans.
Duties and responsibilities:
- Set up and manage all loan files, including ordering appraisals, title, flood, fraud, and CAIVRS
- Maintain appraiser relationships and coordinate required third-party services
- Manage investor suspensions, invoices, and reconciliation (RECON)
- Handle appraisal collections and follow-up
- Process investor fundings and complete verbal verifications on all loan files
- Complete MERS registration and transfers
- Collect and track first payments not handled by investors; send borrower notifications
- Oversee post-closing/shipping process
- Coordinate with title companies, scan and organize files in Encompass
- Transfer PMI/flood policies, mail notes, and pay applicable fees (FHA, VA, buydowns)
- Track and fulfill final document requirements for all investors; review for accuracy and maintain records
- Process adverse actions, including disclosures for withdrawn or denied loans
- Perform quality control on shipped loans to ensure proper boarding
- Handle additional administrative duties, including mail distribution
High School diploma required. College Degree preferred
