Surgery Scheduler
Location: Western PA Surgery Center - 6001 Stonewood Drive, Wexford, PA 15090
Schedule: Full-time on-site, Monday - Friday 7:00 AM - 3:30 PM
Position Summary
The Surgery Scheduler is responsible for coordinating and managing surgical procedures to ensure efficient patient flow, accurate scheduling, and optimal utilization of operating room resources. This role serves as a key liaison between patients, physicians, and clinical staff to deliver a seamless surgical experience.
Key Responsibilities
- Schedule surgical procedures accurately based on physician availability, procedure type, and anesthesia requirements
- Enter and maintain patient scheduling data in the system, ensuring completeness and accuracy
- Coordinate with Operating Room (OR) and PACU teams to support efficient patient flow
- Confirm surgery schedules with physicians and patients prior to procedure dates
- Communicate schedule changes promptly to clinical staff, including nursing and anesthesia teams
- Determine and communicate patient arrival times and procedural start times
- Conduct pre-operative phone calls to provide instructions based on procedure and anesthesia type
- Verify insurance participation and obtain required pre-authorizations or certifications
- Coordinate transportation logistics when applicable
- Prepare and distribute finalized daily surgical schedules
- Reschedule procedures and follow-up appointments as needed
- Maintain strict patient confidentiality in accordance with HIPAA regulations
- Identify and escalate scheduling conflicts or concerns to appropriate staff
- Participate in team meetings and ongoing training initiatives
Qualifications
Education & Experience
- High school diploma or GED required
- 1–2 years of experience in a hospital, ambulatory surgery center, or medical office setting preferred
- Some knowledge of medical terminology and healthcare workflows preferred
