Administrative Assistant
Western Fence Company is Utah's oldest fence company and has been in business for 75 years. We are seeking a highly organized, proactive, and discreet Personal/Administrative Assistant to provide comprehensive support to a busy executive at our Salt Lake City Headquarters. The ideal candidate will act as the right hand — managing administrative tasks, personal logistics, communications, and day-to-day coordination — allowing the principal to focus on high-level priorities and strategic work. This role requires exceptional discretion, strong judgment, adaptability, and the ability to anticipate needs in a fast-paced environment.
This position is Monday through Friday, 6:30am to 4pm, but dependent on workload, with an hour lunch break. Wage is $20-$30 per hour depending on experience.
Job Requirements:
- Manage and maintain complex calendars (business and personal), including scheduling meetings, appointments, calls, events, travel, and personal commitments while proactively resolving conflicts
- Handle all email correspondence: screen, prioritize, draft responses, and follow up on action items
- Act as the primary point of contact for internal and external communications — answer calls, manage inquiries, and maintain professional relationships
- Arrange domestic and international travel (flights, hotels, ground transport, visas, itineraries) and prepare detailed travel packs
- Coordinate meetings, prepare agendas, take accurate minutes/action points, and ensure follow-through on decisions
- Organize and maintain digital/physical filing systems, documents, contracts, and confidential records
- Run personal errands (e.g., shopping, deliveries, reservations, gift purchasing) and manage household-related tasks when required
- Prepare reports, presentations, correspondence, expense reports, and other documents using Microsoft Office / Google Workspace / relevant tools
- Monitor and manage reminders, deadlines, subscriptions, renewals, and recurring tasks
- Assist with light project coordination, event planning (personal or professional), and research as needed
- Handle confidential information with the highest level of discretion and integrity
- Anticipate needs and solve problems proactively before they arise
Qualifications:
- 18 years or older
- Proven ability to manage multiple priorities in a dynamic, sometimes unpredictable environment
- Detail Orientated
- Exceptional written and verbal communication skills (professional tone, grammar, diplomacy)
- Advanced proficiency in productivity tools: Microsoft Outlook / Google Calendar, Office 365 / Google Workspace, Zoom, Slack/Teams, travel booking platforms, expense tools (e.g., Expensify, Concur)
- Strong organizational skills with meticulous attention to detail
- High emotional intelligence, discretion, and sound judgment
- Ability to work independently with minimal supervision while remaining aligned with the principal’s preferences and style, and at high pace
- Flexible availability (occasional early mornings, evenings, or weekends may be required depending on principal’s schedule)
- Valid driver’s license and clean driving record (if errands/travel support is needed)
- Prior Construction Experience (preferred)
