Western Consolidated Cooperative is seeking a highly organized and detail-oriented Office Coordinator to support daily office operations with a strong emphasis on accounting functions. This role is critical to ensuring accurate financial processing while keeping the office running efficiently.
The ideal candidate will be dependable, proactive, and comfortable working in a fast-paced agricultural environment. This position works closely with the accounting team, agronomy, and grain departments to support business operations and member services.
What You’ll Do
Accounting Support
- Assist with accounts receivable, including customer invoicing and applying payments
- Support fuel invoicing, including reviewing delivery tickets, generating invoices, and ensuring accuracy of pricing and gallons delivered
- Assist with trucking-related billing and settlements, including coordinating load documentation and verifying charges
- Reconcile statements and resolve discrepancies with vendors and customers
- Maintain accurate financial records and documentation
- Support month-end and year-end closing processes
Office Coordination & Administrative Support
- Serve as the first point of contact for phone calls, visitors, and general inquiries
- Manage incoming and outgoing mail, deliveries, and office communications
- Maintain office supplies and coordinate orders
- Organize and maintain filing systems (electronic and paper)
Operational Support
- Work collaboratively with grain, agronomy, fuel, and trucking teams to ensure accurate and timely documentation
- Assist with data entry, load tracking, and reporting across departments
- Support general office efficiency and special projects
Qualifications
- 2 years of administrative or accounting support experience
- Experience with invoicing, billing, or logistics coordination preferred
- Strong attention to detail and accuracy
- Basic understanding of accounting principles
- Proficient in Microsoft Office (especially Excel)
- Ability to multitask and prioritize in a dynamic environment
- Strong communication and customer service skills
