Position Summary
Our escrow officer performs advanced duties related to all facets of escrow processing. S/He is required to exercise extreme independent judgment and to possess the knowledge and experience necessary to efficiently handle any situation that may arise during the escrow process.
Essential Functions
- Open, manage, and close escrow files in accordance with company policies and state regulations
- Review purchase agreements, escrow instructions, and related transaction documents for accuracy and
- Coordinate with buyers, sellers, agents, lenders, and internal teams throughout the escrow process
- Order and review title reports, payoffs, HOA documents, and other required file documentation
- Prepare escrow instructions, closing statements, and settlement documents
- Ensure timely and accurate funding and recording of transactions
- Maintain compliance with all regulatory requirements and internal audit standards
- Proactively identify and resolve file issues to ensure smooth closings
- Enter and maintain accurate data in escrow software (Qualia or equivalent system)
- Provide professional communication and status updates to all parties involved
- Step into multiple branches or desks as needed to provide coverage support
- Assist with training or mentoring of escrow assistants or junior staff when appropriate
- Support additional duties or special projects as assigned
- Minimum 3–5 years of escrow officer or senior escrow experience required
- Active escrow officer license (if required by state)
- Strong knowledge of residential escrow processes, documentation, and compliance requirements
- Proven ability to independently manage files from opening through closing
- Excellent verbal and written communication skills
- Strong organizational skills and ability to manage multiple transactions simultaneously
- Ability to adapt quickly to different teams, systems, and workflows
- High attention to detail with strong problem-solving skills
- Proficiency in Microsoft Office (Outlook, Word, Excel) and escrow software
- Strong client service mindset with the ability to build trust quickly in new environments
- Ability to maintain confidentiality and handle sensitive financial and legal information
