Job Summary
- The SPD Supervisor is responsible for assisting the Manager on the day-to-day activities of the (Supply, Processing, Distribution) SPD Department. Supervises employees and maintain processes in support of ordering, storing and the distribution of stock, non-stock materials and supplies to all hospital departments. Creates and maintains the processes and controls required to ensure the accuracy of the materials management database system.
Responsibilities
- Supervises the daily operation ( order, inventory, pick, receive, restock, transport and delivery ) of the SPD warehouse staff which includes the following activities; receiving, par level inventory processes, linen distribution and print shop forms ordering and distribution. Accomplished with minimal supervision.
- Creates and maintains the processes required to manage the flow of stock and non-stock items in the warehouse, receiving and hospital, annual supply value of $15 million dollars. Uses the materials management system to control expenses, storeroom activity and handheld devices to inventory patient care units with par supplies.
- Analyzes the workload of all SPD, Linen and Print Shop staff. Directs assignment changes or adjustments for equi-table workflow. Monitors staff performance and reports to management on task completeness and accuracy. Administers staff annual performance review and evalua-tion.
- Identifies the processes and procedures for the Inventory Control Clerk. Creates and maintains those processes. Monitors and evaluates all Inventory Control Clerk activity ensuring completeness and accuracy of all tasks performed.
- Identifies items to be placed in the warehouse. Establishes inventory control criteria, storage placement, and min/max levels. Monitors items to maintain adequate inventory. Utilizing knowledge and abilities, analyzes the average monthly use and adjusts criteria accordingly.
- Identifies qualifications for hiring new personnel and participates in the interview and hiring process, recommend goals for MRD Clerks, and develop processes for cross training MRD Clerk tasks and responsibilities.
- Attends all meetings, seminars, and presentations available to the management conference group. Communicates all pertinent information to department personnel.
- Creates, maintains and executes the processes for the annual inventory, perpetual inventory and expiration date procedures for SPD, Laundry and Print Shop. Assists Finance in creating non-stock inventory lists for non-patient care departments. Performed with minimal supervisor
- Creates and maintains all processes required to execute a print shop charge back system for in house printing. Monitors the use, activity and movement of all printed materials. Maintains a cost estimator program for creating invoices for non-hospital print jobs.
- Loads, maintains and educates employees in the use and execution of linen software tracking system. Analyzes linen distribution data and directs Laundry Group Leader in adjusting linen par requirements. Responsible for budget control in excess of $350,000.
- Communicates to management all activities pertaining to the operation of the SPD, Laundry/Linen and Print Shop departments.
- Maintains open lines of communication with hospital management and coordinators. Relays and receives information on SPD, Laundry/Linen and Print Shop activities needed to provide quality service to all hospital departments. Performs all tasks necessary for problem resolution. Notifies hospital management of all stock problems; stock-out, manufacturing and or back-order delays in receiving goods.
- Performs other related duties as assigned.
Qualifications/Requirements
- EXPERIENCE
- Minimum of two years supervisory or management experience in materials handling or inventory control.
EDUCATION- Two year college degree, preferably in business administration, purchasing, or management.
- Computer literate (Word, Excel, etc.).
- High School Diploma/GED with two years experience considered.
LICENSES/CERTIFICATIONS- Valid New York State driver license.
