Overview:
Westchester Jewish Community Services (WJCS), a non-profit organization, was founded in 1943 and has grown to be the largest provider of licensed outpatient community mental health services and one of the largest human service agencies in Westchester County. We provide state-of-the-art programs and services and compassionate care to more than 20,000 people of all ages and backgrounds each year.
We are currently seeking an Office Manager join our team in Peekskill, NY. In this role, you will be responsible for the coordination, supervision and implementation of all support functions in the Peekskill CCBHBC to ensure efficient operations.
The salary range for this full-time position is $53,000 - $57,000.
Responsibilities:
As a valued member of our team, your responsibilities will include, but are not limited to:
- Ensures a welcoming, respectful, culturally competent, and trauma informed environment.
- Responsible for the coordination, supervision and implementation of all support functions in the clinic to ensure the smooth functioning of the office and clinic.
- Manages timely and accurate collections of client payments for services.
- Verifies active and current insurance.
- Hire and train support staff.
- Supervise support staff and ensure efficient front desk functioning, including conducting regular supervisory meetings, leading support staff team meetings, monitoring task completion, problem-solving barriers to optimal staff performance, conducting performance evaluations, and assuring ongoing support staff development
- Assures facility maintenance needs are addressed, coordinating maintenance and repairs requests for equipment and building.
- Oversee procurement of office supplies, and equipment
- Maintain clinic calendars staff schedules, appointment reminders, and telehealth coordination.
- Assures timely response to appointment scheduling requests for the clinical and care coordination team.
Requirements:
We are seeking candidates who possess the following qualifications:
- A High School Diploma is required, an Associate’s Degree in Business or related field is preferred.
- At least two years of office experience.
- Proficiency in Microsoft Word, Excel, Outlook; willingness and ability to become proficient in NetSmart billing, scheduling, and clinical record systems.
- Strong verbal and written communication skills in English.
- Ability to understand and support the varied activities of the office.
- Ability to work independently and take initiative.
- Strong interpersonal skills, with the ability to establish and maintain effective working relationships with supervisors, program directors, staff, and clients.
- Bilingual Spanish/English a plus.
