Under general supervision, the Junior Administrative Assistant supports the Assistant Dean of Student Affairs and the Student Affairs team in coordinating administrative and programmatic functions that support student success. The incumbent provides front office and administrative support, including responding to inquiries, managing calendars, scheduling appointments, and supporting daily operations. The role includes coordinating meeting and event logistics such as room reservations, work orders, materials preparation, attendance tracking, and follow-up communication.
The position assists with the preparation of monthly reports, maintains tracking logs, and organizes program and operational data for internal reporting purposes. The incumbent also supports administrative processes including purchase requisitions, food orders, and travel requests in accordance with established procedures. Additional responsibilities include maintaining student records, files, and databases in compliance with institutional policies; preparing correspondence, spreadsheets, presentations, and mail merge projects; and proofreading materials to ensure accuracy and professionalism.
The Junior Administrative Assistant is responsible for receiving, sorting, and distributing mail, assisting with general office operations, and supporting student intake, engagement tracking, and program coordination activities. The role requires collaboration with Academic Affairs, the Business Office, and other departments to support student services initiatives, as well as performing other related duties as assigned.

REQUIRED QUALIFICATIONS: The successful candidate must possess a High School Diploma or equivalent and five years of experience where the primary function of the position was in a staff or administrative support capacity, or where the primary function of the position was supervision of clerical positions.
In addition, the successful candidate must demonstrate:
Strong organizational, communication, and customer service skills
Ability to manage multiple priorities and meet deadlines
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Ability to compile, organize, and present information accurately
Ability to interact effectively with a diverse student population and demonstrate a commitment to equity and inclusion
