Job description:
The Arc Westchester, a leading social services agency dedicated to supporting individuals with developmental disabilities, is seeking a dedicated and highly organized Facilities Assistant to support our facilities management team.
The Facilities Assistant supports the Director of Facilities in both administrative and operational functions across residential, day program, and administrative sites. This hybrid role involves coordinating vendors, billing, contracts, documentation and scheduling, while also providing field support through site visits, inspections, deliveries, and light maintenance tasks.
The Facilities Assistant helps ensure that the organization’s properties remain safe, compliant, and well-maintained.
The ideal candidate will possess strong administrative skills, excellent communication abilities, and a proactive approach to office management and maintenance tasks. This role involves coordinating maintenance activities, managing documentation, and providing exceptional customer service to internal teams and external vendors. The successful applicant will play a vital role in ensuring the smooth operation of our facilities while maintaining a professional and welcoming environment.
Skills and Requirements
• Requires a High School Diploma or equivalent.
• Requires a valid NYS driver’s license.
• Vocational or technical training in trades or building systems is preferred.
• Strong computer skills, including Microsoft Office.
• Experience with CMMS or facility management systems preferred.
• Excellent organizational, communication, and record-keeping skills.
• Ability to work independently, follow instructions, and prioritize multiple tasks under time constraints.
• Availability to work evenings/weekends or respond to emergencies as needed.
• Prior experience in office management or administrative roles within facilities or maintenance environments is preferred.
• Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously.
