Schedule: Full-time
Shift: Monday–Friday, 8am - 4pm
Pay: $24.04 – $40.87 per hour
What You Will Do:
Coordinate complex schedules, prioritize meetings, and ensure executives are prepared for fast-paced agendas.
Arrange travel plans, accommodations, and itineraries with precision and flexibility for last-minute changes.
Act as the primary point of contact for internal teams and external partners, handling calls, emails, and correspondence with professionalism and urgency.
Draft agendas, prepare briefing materials, and ensure all resources are ready for high-impact meetings.
Oversee day-to-day office operations, including supply management and workflow optimization, to keep the environment running smoothly.
Maintain accurate files, reports, and confidential information with discretion and attention to detail.
Assist with special projects, deadlines, and executive initiatives, ensuring timely completion in a fast-moving setting.
Anticipate needs, resolve issues quickly, and adapt to shifting priorities with a proactive mindset.
What You Will Bring:
At least three years of administrative and clerical experience required
A related degree from a postsecondary institution is a plus!
Clear, professional verbal and written communication skills for interacting with executives, clients, and team members.
Ability to manage multiple priorities with precision and maintain attention to detail in a fast-paced environment.
Proven track record of meeting deadlines and handling shifting priorities under pressure.
Strong ability to guide and support team members while taking ownership of tasks and projects.
Skilled at assessing urgency and importance to delegate effectively and keep workflows on track.
Comfortable thriving in a dynamic, high-energy setting with frequent changes and tight timelines.
Solid understanding of standard office equipment and advanced skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or similar tools.
Ability to master new software and systems rapidly.
Driven, proactive, and resourceful with a strong sense of accountability.
Must be able to lift up to 15 pounds.
