Position Summary
The Chapter Coordinator plays a central role in supporting WSCOGA’s mission by managing the day-to-day operations of the office, coordinating major events, and providing executive and membership support. This position blends event planning, communication, and organizational management in a dynamic, mission-driven environment. It is ideal for a proactive, detail-oriented professional who thrives on managing multiple priorities and making a visible impact in a small but high-performing team.
The position reports directly to the Executive Director.
Key Responsibilities
Event Coordination (40%)
- Plan and execute WSCOGA’s signature events, including the Annual Charity Golf Tournament, Sips & Scholarships Awards Reception, Bull Ride N’ BBQ, Annual Meeting, and other association events.
- Manage all event logistics: budgets, venue coordination, vendors, volunteers, and materials.
- Oversee contractors and maintain inventory of event supplies.
- Develop and monitor event budgets and assist in annual association budget requests.
Membership & Administrative Support (35%)
- Serve as the primary point of contact for WSCOGA members, providing exceptional customer service.
- Support membership recruitment, renewals, and communication initiatives.
- Maintain accurate membership databases, mailing lists, and committee calendars.
- Respond to member inquiries promptly and professionally.
Executive Support & Office Management (20%)
- Provide administrative support to the Executive Director, including scheduling, correspondence, and meeting coordination.
- Prepare agendas, print materials, and handle technology or teleconferencing logistics for meetings.
- Manage office supplies, maintain organized files, and sustain a welcoming office environment.
- Handle general inquiries via phone, email, and website forms.
Communications & Outreach (5%)
- Assist with maintaining and updating the WSCOGA website and social media channels.
- Design and distribute newsletters, graphics, and outreach materials to enhance engagement.
- Coordinate with the Executive Director on strategies to strengthen WSCOGA’s visibility and brand.
Qualifications
Required Qualifications
- Bachelor’s degree or equivalent combination of education and relevant experience.
- Minimum two (2) years of experience providing administrative, event, or executive-level support.
- Proficiency with Microsoft Office 365, social media, and basic graphic design tools.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational ability.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Flexibility to work occasional evenings and weekends for events.
- Ability to lift up to 25 lbs.
Preferred Qualifications
- Experience working with nonprofits, associations, or energy-related organizations.
- Familiarity with event management and CRM software (e.g., Cvent).
- Experience in marketing, communications, or graphic design.
- Knowledge of Western Colorado’s energy industry and communities.

Compensation and Benefits
Salary: $35,000–$55,000, commensurate with experience and qualifications.
