Job Summary
We are seeking a proactive and detail-oriented Administrative Specialist to join our team. In this vital role, you will manage daily office operations, support customer service efforts, and ensure smooth administrative workflows. Your organizational skills and office management expertise will help us deliver outstanding service while maintaining an efficient workplace.
Job Functions
- Greet customers and let staff know when appointments arrive
- Answer, screen and route calls to the appropriate individual or branch
- Schedule corporate building conference rooms for meetings & trainings
- Plan and order food & beverage for board, loan & other meetings at corporate office
- Process and distribute daily corporate office proof
- Deliver mail deposits/payments to the branch for processing
- Process, send, sort & distribute FedEx, UPS and U.S.P.S. mail to appropriate areas
- Manage and distribute corporate office inter-office mail
- Prepare local courier bags
- Manage and maintain Postage Due and Business Reply accounts.
- Attend Board of Director meetings and accurately report the meeting minutes
- Manage office and lunchroom supplies for corporate building
- Winter building maintenance (salt & shovel front door)
- Oversee logo wear ordering with help from Human Resources
- Support President, Chief Commercial Banking Officer & Chief Retail Banking Officer
- Direct corporate building mechanical issues to appropriate external vendor
- Direct corporate building IT issues to appropriate internal support
- Oversee daily opening and closing of the corporate office building
- Other duties as assigned
- Must complete all required annual training
- Follow required federal and state regulations and related internal policies and procedures
Education/Experience
- High School diploma and one year of experience required. Three years of experience is preferred. Certifications in Microsoft Office are a plus.
