Site Coordinator – Job Description
Reports To: Manager of Housing
Status: Part-Time (Monday, Wednesday (flexible) & Friday)
Program: HUD Section 202 Senior Housing
PURPOSE
To assist Management in overseeing all project functions necessary to effectively operate and maintain independent senior housing under the HUD Section 202 Program. The Site Coordinator supports residents, ensures compliance with HUD requirements, and maintains smooth daily operations of Findley Place Apartments.
SCHEDULE
The Site Coordinator position is part-time, typically scheduled for:
- Monday
- Wednesday (flexible)
- Friday
Additional flexibility may be required throughout the week to meet resident needs, coordinate vendors, handle emergencies, or complete time-sensitive HUD or administrative responsibilities.
PRIMARY RESPONSIBILITIES
Project Operations & Office Administration
- Oversee daily project functions and ensure smooth operations of the property.
- Maintain all office files in an organized, accurate, secure, and up-to-date manner.
- Oversee the orderly filing and tracking of work orders and project invoices.
- Ensure timely response to resident requests, concerns, and emergencies during office hours, and respond to urgent situations during off-hours as needed.
- Request and monitor office supplies through the Housing Manager.
- Meet regularly with the Housing Manager to provide updates on property operations.
- Participating in decision-making and problem-solving for project-related issues
- Attend required training sessions, including Fair Housing, Marketing, and HUD program updates.
Resident Services & Communication
- Ensure timely response to resident needs and maintenance requests.
- Provide guidance and accurate information to applicants and families regarding eligibility and rental requirements.
- Process, mail, and file all residency applications accurately and promptly.
- Coordinate and oversee all Move-Ins and Move-Outs.
- Provide structured orientation for new residents and their families.
- Assist residents with setting up utilities (electric, cable, phone) when needed.
- For move-outs, ensure utilities are removed from the resident’s name, mail forwarding is completed, and forwarding addresses are submitted to the fiscal department.
- Assist residents with minor maintenance needs (e.g., changing light bulbs in permanent fixtures).
Financial Duties
- Collect and deposit all project rental income in accordance with established procedures.
- Notify the Housing Manager and fiscal department of any issues related to rent payments or resident accounts.
Property Maintenance & Compliance
- Complete assigned cleaning duties on a daily, weekly, and monthly basis.
- Perform basic grounds maintenance such as trimming bushes, planting flowers, washing windows and maintaining overall curb appeal.
- Maintain general property cleanliness and support a safe, well-kept environment.
- Meet with vendors and contractors while they are on-site.
- Track inspections and assist with preparation for HUD, INSPIRE, and other regulatory or compliance inspections.
Additional Responsibilities
- Perform any additional tasks essential to keeping Findley Place Apartments running smoothly.
Carry out other duties assigned by the Housing Manager and Property Owners
Job Type: Part-time
Pay: $15.00 - $18.00 per hour
