We are seeking a Loan Officer Assistant who is proactive, detail-oriented, and committed to supporting a high-volume loan officer team. This role is essential to ensuring a smooth client experience from application through closing.
Position Overview
We are seeking a highly organized, proactive, and dynamic Loan Officer Assistant
to support our Loan Officer team both operationally and strategically. This role goes beyond
traditional loan support and serves as a central resource for the entire team, helping
drive communication, reporting, culture, branding, and team organization.
The ideal candidate is detail-oriented, tech-savvy, creative, and thrives in a fast-paced
environment. This person will assist with day-to-day loan support while also owning team
communications, performance reporting, social media growth, and team engagement
initiatives.
Key Responsibilities
Loan Officer / Production Support
• Assist Loan Officers with loan file setup, organization, and administrative support.
• Review loan applications and documentation for completeness and accuracy.
• Help collect borrower documentation and maintain accurate records in the Loan
Origination System (LOS).
• Coordinate with Processing, Underwriting, Funding, and Operations teams to help
move loans efficiently through the pipeline.
• Maintain calendars, scheduling, and follow-up communications for Loan Officers.
• Track loan milestones and ensure deadlines are met.
Team Communications & Internal Engagement
• Draft and send team-wide communications, including:
o Important company announcements
o Team updates
o Sales updates / contests
o Operational changes
o Event invitations
o Internal recognition and milestone announcements
• Serve as a communication bridge between leadership and the team.
• Ensure team members stay informed, aligned, and engaged.
Reporting & Analytics
• Become fully trained in Power BI, Tableau, and internal reporting systems.
• Generate and distribute daily team reporting, including:
o Production reports
o Pipeline updates
o Conversion metrics
o Performance dashboards
o KPI tracking
• Analyze reporting trends and help leadership identify opportunities for growth and
efficiency.
• Maintain reporting accuracy and timeliness.
Social Media & Team Branding
• Manage and grow the team’s social media presence across platforms including
Instagram, LinkedIn, Facebook, and other relevant channels.
• Create engaging content that highlights:
o Team milestones
o Production wins
o Company achievements
o Team outings and events
o Recruiting / culture initiatives
• Coordinate photography/video capture for important events and milestones.
• Help build and maintain a strong brand presence for the team.
Team Culture / Event Coordination
• Coordinate team outings, celebrations, networking events, and internal functions.
• Assist in planning recognition initiatives and team-building activities.
• Help foster a positive, energetic, and collaborative team culture.
• Coordinate logistics for meetings, events, and offsite gatherings.
Team Resource / Administrative Support
• Serve as a go-to resource for team members for questions, updates, and support.
• Assist with onboarding new team members.
• Support leadership with special projects and operational initiatives.
• Help improve team processes, organization, and overall efficiency.
Qualifications
• 2 years of mortgage industry experience preferred
• Experience supporting Loan Officers or mortgage production teams strongly
preferred
• Strong communication and writing skills
• Experience with Power BI / Tableau reporting (or ability to learn quickly)
• Social media management / content creation experience preferred
• Strong organizational and project management skills
• Ability to multitask in a fast-paced environment
• High attention to detail and professionalism
Technical Skills
• Loan Origination Systems (LendingPad, Encompass, Arive, etc.)
• Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
• Power BI / Tableau
• Canva / Adobe Creative Suite (preferred)
• Social media platforms (Instagram, LinkedIn, Facebook)
