Reporting to the Assistant Vice President of Financial Aid, the Financial Aid Specialist coordinates and provides advising to students, parents, faculty, and staff regarding financial aid regulations, processes, and procedures. This role emphasizes compliance with federal, state, and institutional regulations while supporting student success through counseling, outreach, and collaboration. The Specialist ensures all student and parent information is protected according to FERPA and institutional policies, with additional financial aid confidentiality restrictions.


Responsibilities

Counseling & Advising

  • Provide one-on-one and group counseling sessions for new, prospective, and transfer students regarding financial aid options, eligibility, and application processes.
  • Explain state aid programs, policies, and requirements to ensure students remain in compliance.
  • Assist incoming students in understanding their financial aid award packages, verification processes, and timelines.

Processing & Compliance

  • Review, evaluate, and process applications for state grants, scholarships, and other aid programs.
  • Ensure accurate and timely awarding, certification, invoicing, and reconciliation of state financial aid.
  • Maintain compliance with federal, state, and institutional regulations and reporting requirements.

Collaboration & Outreach

  • Partner with Admissions to provide financial aid information and support during recruitment and orientation activities.
  • Coordinate workshops, presentations, and outreach events for new students and families.
  • Collaborate with campus offices (Registrar, Bursar, Student Success) to resolve student issues related to aid eligibility, enrollment, and billing.

Customer Service & Support

  • Serve as a primary contact for inquiries related to state financial aid and first-time student financial aid processes.
  • Respond promptly to emails, phone calls, and in-person requests with professionalism and accuracy.
  • Assist with appeals, special circumstance requests, and financial literacy initiatives.

Qualifications

  • Bachelor’s degree plus 1 to 3 years’ experience in college financial aid or higher education are preferred.
  • Intermediate to advanced experience with Microsoft Word and Excel.
  • The successful candidate will possess excellent communication skills in dealing with various college constituencies.
  • Experience with PowerFAIDS, Jenzabar EX, GAFUTURES, or other student information systems preferred.
  • Knowledge of Title IV and state aid programs preferred.
