Position Summary
The Project Management Coordinator will provide proactive administrative and operational support to ensure smooth coordination communication, and execution of project activities. This role is essential in maintaining organization, tracking progress, preparing documentation and supporting the Project Manager. Key Responsibilities
Project Coordination & Support

Assist with planning, coordinating, and tracking project activities, deliverables, and deadlines.

Monitor project milestones and provide timely updates, reminders, and status summaries.

Prepare, proofread, and maintain project documentation, including meeting agendas, notes, timelines, schedules, and reports.

Provide administrative updates to the Project Manager on project progress as requested.
Administrative & Operational Support

Provide comprehensive administrative support to the Project Manager, and project team

Manage calendars, schedule meetings, and coordinate logistics for project-related events, presentations, and site visits.

Prepare presentations, spreadsheets, and project reports for leadership and stakeholders.

Maintain organized digital and physical filing systems for project documentation and correspondence.

Perform general office duties such as managing mail, deliveries, correspondence, and office supplies.

Process purchase orders, invoices, reimbursements, and expense reports related to project activities.
Communication & Stakeholder Engagement

Facilitate communication between internal departments, cross-functional partners, external vendors, and project stakeholders.

Assist in preparing project communications, updates, and announcements for distribution.

Support relationship management with vendors and contractors as needed.
Qualifications
Education & Experience

Associate’s degree in Business Administration, Project Management, or a related field required; Bachelor’s degree preferred.

Minimum of two (2) years of administrative support experience, preferably in a project management, operational, or fast-paced office environment.
Skills & Competencies

Strong organizational and time-management skills with exceptional attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with project management software preferred.
