What your day looks like

You open the office at 7:30 AM, scan overnight orders, and line up the day’s priorities. Customer orders you entered yesterday are already moving; you update work orders, job travelers, and schedules in the ERP, then walk the floor to confirm status with supervisors. A supplier calls about lead times—your purchase order keeps things on track. Before lunch, you reconcile invoices, send a few quotes, and finalize packing slips and certificates of conformance for a shipment. The afternoon brings onboarding paperwork for a new hire, a safety record check ahead of a fire inspection, and a round of customer updates on deadlines and priorities. You close the loop on emails, tidy your workspace, and finish the day with a clear, organized desk.

Impact you’ll own

  • Run daily front-office operations: scheduling, correspondence, supply ordering, and reception.
  • Shepherd customer orders from entry through delivery, tracking work orders and job travelers.
  • Coordinate with shop supervisors to relay status, deadlines, and priority changes to customers.
  • Manage supplier relationships; issue POs, follow up on materials, and reconcile vendor invoices.
  • Handle AP/AR, billing, and basic bookkeeping using QuickBooks (or similar).
  • Create quotes, packing slips, shipping paperwork, and certificates of conformance.
  • Maintain inventory records for customer parts.
  • Support HR administration: maintain employee files, assist onboarding, and keep records current.
  • Keep compliance documentation up to date (safety logs, fire inspections, and related records).
  • Be the primary contact for calls, emails, and walk-in customers.

What you bring

  • 5 years in office management or administrative leadership; manufacturing experience strongly preferred (familiar with tolerances, materials, machining processes, and reading blueprints/drawings).
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort with ERP/shop management tools.
  • Experience with bookkeeping software—ideally QuickBooks—and core accounting basics.
  • Exceptional organization and multitasking in a fast-paced shop; habit of ending each day with a clean, orderly desk.
  • Clear written and verbal communication across customers, vendors, and shop teams.
  • Education: High school diploma or equivalent required; associate’s degree or higher in business or related field preferred. (The original listing also referenced a Bachelor’s Degree under proficiencies—candidates with one are welcome.)
