What your day looks like

The afternoon brings onboarding paperwork for a new hire, a safety record check ahead of a fire inspection, and a round of customer updates on deadlines and priorities. You close the loop on emails, tidy your workspace, and finish the day with a clear, organized desk.
Impact you’ll own
- Run daily front-office operations: scheduling, correspondence, supply ordering, and reception.
- Shepherd customer orders from entry through delivery, tracking work orders and job travelers.
- Coordinate with shop supervisors to relay status, deadlines, and priority changes to customers.
- Manage supplier relationships; issue POs, follow up on materials, and reconcile vendor invoices.
- Handle AP/AR, billing, and basic bookkeeping using QuickBooks (or similar).
- Create quotes, packing slips, shipping paperwork, and certificates of conformance.
- Maintain inventory records for customer parts.
- Support HR administration: maintain employee files, assist onboarding, and keep records current.
- Keep compliance documentation up to date (safety logs, fire inspections, and related records).
- Be the primary contact for calls, emails, and walk-in customers.
What you bring
- 5 years in office management or administrative leadership; manufacturing experience strongly preferred (familiar with tolerances, materials, machining processes, and reading blueprints/drawings).
- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort with ERP/shop management tools.
- Experience with bookkeeping software—ideally QuickBooks—and core accounting basics.
- Exceptional organization and multitasking in a fast-paced shop; habit of ending each day with a clean, orderly desk.
- Clear written and verbal communication across customers, vendors, and shop teams.
