Office Manager – Financial Advisory Firm
Position Overview
We are seeking a highly organized and professional Office Manager to oversee the daily operations of our financial advisory practice. This role is critical to ensuring a smooth, efficient, and client-focused environment. The ideal candidate is detail-oriented, discreet, and thrives in a fast-paced professional services setting.
Key Responsibilities
- Manage day-to-day office operations, including scheduling, correspondence, and vendor relationships
- Serve as the first point of contact for clients — greeting visitors, answering calls, and handling inquiries with professionalism and confidentiality
- Coordinate and prepare client meeting materials, presentations, and appointment follow-ups
- Maintain and organize client records and documentation
- Oversee office supply inventory, equipment maintenance, and facilities management
- Manage onboarding documentation for new clients
- Handle accounts payable/receivable, expense reporting, and basic bookkeeping coordination
Qualifications
- 3 years of office management or executive administrative experience, preferably in financial services, wealth management, or a professional services firm
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication and interpersonal skills
- High degree of discretion and ability to handle sensitive financial and personal client information
- Strong organizational skills and the ability to manage multiple priorities
- Associate's or Bachelor's degree preferred
