Job Summary
We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and administrative backbone of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting daily office functions with efficiency and professionalism. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to ensure smooth office operations and a positive experience for visitors and team members alike.

Responsibilities

  • Greet visitors, clients, and vendors warmly while maintaining a professional demeanor at all times.
  • Answer multi-line phone systems promptly, directing calls accurately and courteously.
  • Manage front desk activities including scheduling appointments, handling mail, and maintaining visitor logs.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization.
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks.
  • Support calendar management and coordinate meetings or appointments for staff members.
  • Handle clerical duties such as photocopying, faxing, and maintaining organized records.
  • Provide customer support by addressing inquiries efficiently and professionally across various communication channels.
  • Assist with bookkeeping tasks including basic bookkeeping and invoice processing as needed.
  • Maintain a tidy reception area and ensure all office supplies are stocked and organized.

Skills

  • Proven experience in office management or administrative support with strong organizational skills.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Familiarity with QuickBooks or similar accounting software is a plus.
  • Strong multi-line phone system handling skills coupled with excellent phone etiquette.
  • Bilingual abilities to communicate effectively with diverse clients or team members are highly desirable.
  • Demonstrated clerical experience including data entry, filing, proofreading, and document management.
  • Exceptional customer service skills with the ability to handle inquiries professionally and courteously.
  • Effective time management skills to prioritize tasks efficiently in a fast-paced environment.
