POSITION SUMMARY:
The Payroll Administrator is responsible for the accurate and timely processing of payroll and related reporting functions. This role supports the Finance department by ensuring compliance with the company policies, wage and hour regulations, and internal controls. This position reports to the Accounting Manager.
MAJOR FUNCTIONS & RESPONSIBILITIES:
- Process regular and off-cycle payroll, including validation of time and attendance records
- Reconcile employee timekeeping, time-off, and leave data for accuracy and completeness
- Calculate wages, overtime, premiums, and deductions in compliance with applicable laws
- Manage meal waivers tracking, scanning and follow up to ensure compliance with California meal and rest period requirements
- Maintain payroll records in accordance with company policy and regulatory requirements
- Submit staffing agency hours, reconcile invoices, and track temporary labor activity for accurate billing
- Prepare payroll reports and analyses for Finance and leadership
- Support internal and external audits by providing required payroll documentation
- Maintain strict confidentiality of payroll and compensation information
- Identify and recommend process improvements to enhance payroll accuracy and efficiency
- Adhere to cGMPs, Good Documentation Practices (GDPs), company policies, and safety standards
- Provide receptionist coverage during scheduled breaks as needed
- Perform other duties as assigned by the Accounting Manager
REQUIRED EDUCATION / WORK EXPERIENCE / SKILLS:
- High school diploma or equivalent required
- Minimum of 5 years of payroll processing experience
- Working knowledge of ‘ADP Workforce Now’ required
- Strong Excel proficiency
- Solid understanding of California meal and rest break requirements
- Strong attention to detail and accuracy
- Effective written and verbal communication skills
- Ability to manage confidential information with discretion
- Strong organizational skills with the ability to meet strict deadlines
- Ability to work independently in a fast-paced environment
- Bilingual (English/Spanish) preferred
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer
- Frequent use of hands and fingers for typing, data entry, and operating office equipment
- Must be able to lift and carry files, documents, and office materials for up to 15 pounds
- Ability to walk throughout the building, including up and down stairs
- Occasional bending, reaching, and filing of documents
- Must have a visual ability to read computer screens and printed material
WORK ENVIRONMENT:
- Primarily works in an office setting
- May occasionally enter the manufacturing environment, which may include exposure to noise, production equipment, and adherence to cGMP and safety requirements.
- Must follow all applicable safety, gowning, and facility procedure when entering production areas.
