Job Description
Full-time front office Intake, Referral and Front Desk Coordinator for a pediatric therapy practice. This position is an integral part of our Operations Team and serves the vital role of primary communications manager between staff, parents, physicians, and community resources. This is an in-office position located at our South Admin Office, centrally located off Academy and Constitution Blvd at 2105 Academy Circle, Colorado Springs, CO. This is a full-time position with either an 8:00-4:30 or 8:30-5:00, Monday through Friday schedule.
In this role, the Intake & Referral Coordinator will be responsible for, but not limited to:
Obtaining all new client intake information and communicating our therapy philosophy and scheduling process
Working with therapy coordinators to schedule new clients and adjust client schedules as needed
Coordinating and communicating therapy schedules and pertinent changes to both therapists and families
Submitting and tracking physicians’ orders and other therapy documents
Creating and maintaining client records in our electronic health record systems
Utilizing EMR and other software programs including KanTime, Microsoft Suite, and Weave
Verifying insurance benefits and explaining benefit coverage to families
Communicating with therapists, parents, and office staff daily
Maintaining excellent written and oral communication skills
Attending and actively participating in ongoing trainings and staff meetings
Minimum Qualifications
HS Diploma
Excellent time management, organization, and communication skills
Preferred Experience
Familiarity with EMR systems (i.e. Kantime)
At least 2 years' experience as an intake or referral coordinator in a therapeutic or clinical setting
Knowledge of insurance eligibility verification
Experience working within the Medicaid and TRICARE systems
1 year of scheduling experience
1 year of customer service experience
