Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and ensure a smooth workflow across departments. As an energetic and proactive team member, you will be the first point of contact for visitors and callers, manage essential clerical tasks, and contribute to an efficient office environment. Your enthusiasm, attention to detail, and excellent communication skills will help foster a positive workplace atmosphere and support our organizational goals.

Responsibilities

  • Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
  • Manage calendar appointments, schedule meetings, and coordinate office events with precision using Microsoft Office and Google Workspace tools.
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure information integrity.
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial recordkeeping.
  • Assist with office management duties such as ordering supplies, maintaining office equipment, and organizing files for easy retrieval.
  • Provide administrative support including typing correspondence, managing email communications, and supporting personal assistant duties as needed.
  • Demonstrate strong organizational skills by prioritizing tasks efficiently while maintaining excellent phone etiquette and professional demeanor.

Requirements

  • Proven experience in an office environment with clerical or administrative responsibilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, and computer literacy is essential.
  • Prior experience with multi-line phone systems, data entry, filing systems, and proofreading is highly desirable.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Strong organizational skills with the ability to manage calendars, prioritize tasks, and meet deadlines consistently.
  • Excellent customer service skills combined with professional phone etiquette.
  • Knowledge of office management practices including bookkeeping (QuickBooks preferred), medical or dental receptionist experience is advantageous.
  • Ability to handle sensitive information discreetly while demonstrating time management skills in a fast-paced environment.
