Construction Office Manager / Senior Bookkeeper

Boston, MA | Full-Time | In-Office | $110,000–$140,000 Base Salary Comprehensive Benefits

A well-established and growing construction and real estate development company is seeking an experienced Construction Office Manager / Senior Bookkeeper to lead its accounting, administrative, compliance, and office operations functions.

This is a highly visible, senior-level position offering significant ownership and autonomy. The successful candidate will serve as the operational backbone of the organization, ensuring financial accuracy, maintaining office efficiency, supporting development transactions, and providing critical administrative support to leadership.


The Opportunity

This role is ideal for an experienced construction accounting and office management professional who enjoys taking ownership, implementing structure, and driving operational excellence. The position offers broad exposure across construction operations, project accounting, real estate development activities, compliance management, and office administration.

The successful individual will act as a key liaison between leadership, field teams, lenders, attorneys, title companies, vendors, subcontractors, and external financial partners.


Key Responsibilities

Accounting & Bookkeeping

  • Manage day-to-day bookkeeping and accounting functions.
  • Oversee accounts payable, accounts receivable, invoicing, collections, and payment processing.
  • Maintain accurate financial records across multiple entities where applicable.
  • Perform bank, credit card, and vendor reconciliations.
  • Maintain clean and accurate books within QuickBooks.
  • Support payroll administration and coordination.
  • Assist with financial reporting and audit readiness.


Construction Accounting & Financial Administration

  • Support job costing and project-level financial tracking.
  • Monitor project budgets and actual expenditures.
  • Assist with progress billing, invoicing, retainage tracking, and financial reporting.
  • Reconcile project financial data between operational and accounting systems.
  • Provide leadership with accurate project financial visibility.


Real Estate Development & Transaction Administration

  • Support construction loan administration, lender draw requests, and funding documentation.
  • Coordinate and organize documentation required for lenders, attorneys, title companies, and ownership groups.
  • Assist with AIA billing, requisitions, draw schedules, and supporting documentation.
  • Maintain transaction files related to acquisitions, sales, financing, and closings.
  • Manage development-related records including contracts, settlement statements, title documentation, loan records, insurance files, and correspondence.


Systems Administration

  • Support and maintain company accounting and project management systems.
  • Ensure consistency and accuracy between operational and financial platforms.
  • Assist with process improvements and workflow optimization.


Compliance & Vendor Management

  • Track and maintain vendor and subcontractor compliance documentation.
  • Manage certificates of insurance, W-9s, lien waivers, and related records.
  • Follow up on outstanding compliance requirements and documentation.


Office Operations & Administration

  • Oversee daily office operations and administrative workflows.
  • Maintain organized filing systems and company records.
  • Support scheduling, communications, and leadership initiatives.


HR & Employee Administration

  • Coordinate onboarding documentation and employee records.
  • Maintain personnel files and administrative HR documentation.
  • Support routine employee administration and compliance requirements.


Ideal Background

We are seeking a candidate who brings:

  • 10 years of experience in construction office management, construction bookkeeping, or a highly comparable role.
  • Strong construction industry experience.
  • Advanced QuickBooks proficiency.
  • Experience managing AP, AR, collections, reconciliations, invoicing, and bookkeeping ownership.
  • Working knowledge of construction accounting principles including:
  • Job costing
  • Progress billing
  • Retainage
  • Work-in-progress (WIP) reporting
  • Budget vs. actual reporting
  • Experience supporting subcontractor compliance and vendor administration.
  • Exposure to payroll processing and HR administration.
  • Experience supporting real estate development transactions, including:
  • Construction loans
  • Draw requests
  • Closings
  • Disbursements
  • AIA billing
  • Property sale documentation
  • Ability to work independently with minimal supervision.


Systems & Software

Experience with the following is strongly preferred:
