We are looking for a dependable, capable, and positive person to join our small family office as an Administrative Assistant/Bookkeeper.

While previous administrative and bookkeeping experience is certainly helpful, we believe the right attitude, work ethic, judgment, and willingness to learn are even more important. We are happy to teach many aspects of the position to someone who is bright, organized, comfortable with technology, and genuinely enjoys helping things run smoothly.

The right person will become a trusted and valued part of our office and will work closely with the President and CEO on a wide variety of business and administrative matters.

What You'll Do

This is a varied position, and no two days will necessarily look exactly alike. Responsibilities may include:

  • Providing administrative support to the President and CEO
  • Managing calendars, schedules, contacts, and appointments
  • Preparing emails, letters, and other correspondence
  • Maintaining organized electronic and physical records
  • Handling accounts payable and receivable
  • Assisting with payroll and related recordkeeping and filings
  • Preparing and maintaining expense reports
  • Coordinating travel arrangements, including flights, hotels, and rental cars
  • Communicating with vendors, employees, customers, accountants, and other business contacts
  • Sorting and managing mail and routine office matters
  • Helping coordinate meetings, events, and appointments
  • Assisting with special projects and research as needed
  • Maintaining strict confidentiality regarding personal, financial, and business information

We don't expect a new hire to know how to do everything on this list from day one. If you have a solid foundation, strong computer skills, good judgment, and a willingness to learn, we can teach you much of the rest.

Skills & Experience

Important:

  • Strong working knowledge of Microsoft Outlook, Word, and Excel
  • Professional written and verbal communication skills
  • Strong organizational and time-management skills
  • Ability to prioritize and work independently
  • High level of discretion and confidentiality
  • Comfortable learning new software, processes, and responsibilities

Helpful, but not necessarily required:

  • Previous administrative assistant, executive assistant, office management, paralegal, or similar experience
  • Bookkeeping or accounting experience
  • Experience with payroll, accounts payable, or accounts receivable
  • Associate's or bachelor's degree

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
